Cookie Policy

Translation notice. This is an English translation provided for convenience. SmartOKS operates under the law of Ukraine, and the Ukrainian version of this Policy is the legally binding one. If the two versions differ, the Ukrainian text prevails.
This Policy explains which cookies and similar technologies are used on the smartoks.com.ua website and in the SmartOKS web platform on subdomains of the form name.smartoks.com.ua, for what purpose, and how to manage them.
1. What cookies and similar technologies are
Cookies are small text files that a website stores on a user's device. They make it possible to recognise the user's browser, keep a sign-in session alive and remember settings. Cookies contain no program code and cannot run software on a device.
Similar technologies include the browser's local storage (localStorage), which we use to save interface settings.
2. Which cookies we use
Strictly necessary cookies
Without them authentication and account protection are impossible; they are set automatically and do not require consent:
- authToken — keeps the sign-in session to the platform; valid for 24 hours;
- refreshToken — renews the session automatically without signing in again; valid for 7 days;
- g_oauth_nonce — a one-time security code used when signing in through Google; valid for a few minutes;
- Cloudflare cookies (in particular __cf_bm) — protect the site against bots and attacks; valid for up to 30 minutes;
- Cloudflare Turnstile cookies — the "are you a robot" check on the sign-up form.
Authentication cookies carry the HttpOnly, Secure and SameSite attributes: they are inaccessible to third-party code and are transmitted only over secure connections.
Functional data (localStorage)
Platform interface settings (for example the chosen view for lists and boards) are stored in your browser's local storage. This data stays on your device and is not sent to the server.
On the smartoks.com.ua marketing pages, only your language choice is kept in local storage:
- smartoks_lang — the site language you chose (Ukrainian or English), so the choice is not lost as you move between pages; kept until you clear the site's data;
- smartoks_geo_checked — a marker that the country has already been determined once for this session; removed when the tab is closed.
Analytics cookies
On the smartoks.com.ua website (the marketing pages) we use Google Analytics 4, connected through Google Tag Manager:
- _ga, _ga_* — distinguish visitors for traffic statistics; valid for up to 2 years.
We use these statistics in anonymised, aggregated form: page views, referral sources, events (for example a form submission). Analytics cookies are not used in the platform interface itself (on organization subdomains).
We do not use advertising or targeting cookies.
3. Third-party cookies
Google and Cloudflare cookies are set by those providers and are governed by their own policies:
- Google — policies.google.com/privacy
- Cloudflare — cloudflare.com/privacypolicy
4. Legal grounds
Strictly necessary cookies are used to perform the contract with the user and on the basis of the legitimate interest in the security of the Service. Analytics cookies are used on the basis of the legitimate interest in improving the site; you can opt out of them at any time in the way described in section 5.
5. How to manage cookies
You can view, delete and block cookies in your browser settings, including for individual sites. To opt out of Google Analytics specifically, you can install the official Google Analytics Opt-out add-on.
Please note: blocking strictly necessary cookies will make it impossible to sign in to the platform and for it to work correctly.
6. Retention periods
Session cookies are deleted when the browser is closed. Persistent cookies are kept for the period stated in section 2, or until the user deletes them.
7. Changes to this Policy
We may update this Policy from time to time, in particular if the list of cookies in use changes. The current edition, with its date, is published on this page.
